The primary role of the Counsellor is to guide and support prospective students, help them understand the courses and benefits offered by the academy, and ensure a seamless admission process. The ideal candidate should have excellent communication skills, be detail-oriented, and work towards achieving the academy’s enrolment goals through effective counselling and strategic planning. Key Responsibilities: 1. Daily Updates: o Provide daily updates on student inquiries, counselling sessions, and progress reports to the management team. o Maintain an organized system for tracking student interactions, follow-ups, and admissions status. o Update and maintain a daily log of student counselling activities, ensuring that no lead is left unattended. o 2. Maintain Data of Students: o Maintain and update a comprehensive database of prospective and enrolled students. o Record all relevant student information, including contact details, course preferences, counselling feedback, and admission status. o Ensure data accuracy, confidentiality, and compliance with privacy policies. o Provide regular reports on student data to management, including admission trends and success rates. o 3. Attend Phone Calls: o Answer incoming phone calls from prospective students and parents, providing information on available courses, admission procedures, and other academy services. o Handle inquiries professionally and provide timely responses to questions related to course offerings, schedules, fees, etc. o Follow up with prospective students after phone calls to ensure that they have all the necessary information for enrolment. o 4. Counselling: o Provide personalized counselling to prospective students and parents, understanding their academic goals, preferences, and needs. o Guide students on the most suitable courses based on their aspirations and educational background. o Help students understand the benefits and features of the coaching academy’s programs and how they can help them achieve their goals. o Offer advice on career paths, exam preparation, and study techniques tailored to individual student needs. o Create a positive and welcoming experience for prospective students to encourage enrolment. o 5. Strategy Planning for More Admissions: o Collaborate with the marketing and sales team to create and implement strategies to increase student admissions. o Analyse trends, feedback, and data to identify areas for improving conversion rates and attracting more students. o Contribute to the development of promotional campaigns, events, or seminars aimed at generating interest and boosting enrolments. o Monitor the effectiveness of admission strategies and suggest improvements based on outcomes and feedback. o Assist in organizing open-house events, webinars, and orientation sessions to attract more prospective students. Qualifications: Bachelor’s degree in Education, Psychology, Business Administration, or a related field (preferred). Previous experience in a counselling or sales role, ideally in an educational or coaching academy setting. Strong communication skills, both verbal and written. Proficient in MS Office (Word, Excel, PowerPoint) and basic CRM or student management software. Excellent interpersonal skills with the ability to build rapport with students and parents. Ability to work independently as well as part of a team. Organized and detail-oriented with the ability to manage multiple tasks efficiently. Problem-solving attitude with a passion for student success and satisfaction. Personal Attributes: Empathetic, patient, and approachable, with the ability to listen and understand the needs of students. Goal-oriented with a focus on achieving targets for student admissions. Proactive and enthusiastic about the coaching academy’s growth and development. Strong decision-making skills and the ability to work under pressure. Strong follow-up skills and ability to handle objections effectively. Additional Information: The role may require occasional evening or weekend work during peak admission periods or for special events.
